Terms of booking
Written to be read rather than skipped. This is a working draft while the final wording is settled.
These terms are being finalised
This page is an honest draft, not a signed contract. It sets out how we work day to day, but the binding terms for your booking are the ones stated on your written confirmation or proposal. Please read that document and confirm anything that matters to you at the time of booking — particularly amounts, deadlines and anything involving an outside vendor. Where a figure has not yet been fixed, this page says so instead of guessing.

1. Who these terms are with
"We", "us" and "the resort" mean Gold Coins Club & Resort, at No. 45/1, Andapura, Off Huskur Road, Electronic City Phase II, Anekal Taluk, Bengaluru, Karnataka 560100. "You" means the person making the booking, and you are responsible for everyone in your group, including children.
2. Enquiries, quotes and confirmation
An enquiry — by form, phone, email or WhatsApp — is not a booking. A quote we send you is an offer for the date and headcount you gave us, and it holds only for as long as the confirmation states. A booking exists once we have issued a written confirmation and received the agreed advance. We do not hold dates on a verbal promise.
If the details change — the date, the number of guests, the menu, the spaces used — tell us in writing. Changes are subject to availability and may change the price.
3. Payment
Bookings are confirmed against an advance, with the balance payable on the schedule set out in your confirmation. Corporate bookings may be confirmed against a purchase order.

We raise a GST invoice for stays, day outings, events and food and beverage. If you need input credit, give us your registered company name, address and GSTIN before the invoice is generated — it is difficult to change afterwards.
4. Rates and what they include
Rates quoted are for the dates, headcount and inclusions stated in your confirmation. Unless it is written there, assume the following are not included: alcohol, adventure activities charged separately, external facilitators, AV equipment, decor, and any service booked through an outside vendor. Taxes apply as per the invoice.
Final headcount for a group booking is normally locked a set number of days before the event, because the kitchen cooks to that number. Billing is on the locked headcount or the actual attendance, whichever is higher. Notice period for locking the headcount: to be confirmed.
5. Cancellations, postponements and no-shows
Cancellation windows, deductions and refund timelines are set out on our cancellation policy page, and the version that applies to you is the one printed on your confirmation. Function dates held against an advance are the most restrictive, because the date is taken off the market for everyone else.
6. Arrival, check-in and identification
- Check-in from 2:00 PM. Check-out at 12:00 noon.
- Minimum check-in age is 18 years.
- Every adult guest must present an original government photo ID at check-in — Aadhaar, driving licence, voter ID or passport. Foreign nationals must produce a passport and visa. A photocopy or a photograph on a phone is not sufficient.
- Early check-in and late check-out depend on occupancy on the day and may carry a charge. Charge, where one applies: to be confirmed.
7. Conduct, safety and the pool
The pool operates in fixed hours with supervision, and our team may close it or ask a guest to leave the water for safety reasons — weather, overcrowding, or intoxication. Rain dance runs in scheduled sessions. Children in and around the water remain the responsibility of the adults they came with.
We may refuse entry or ask a guest to leave for behaviour that puts others at risk or disrupts other guests, without a refund. Alcohol is served to adults only and our staff may stop service at their discretion. Smoking is only permitted in designated open areas.
8. Outside caterers, decorators and vendors
Outside catering, decorators, DJs and photographers are permitted. Share vendor details and the setup plan in advance so we can schedule access, power, water and clearing. All material must be removed after the event. Anything involving rigging, open flame or heavy structures needs prior approval. Vendor charges, kitchen usage or royalty charges and deposits, where they apply: to be confirmed.
Outdoor amplified music stops at the local sound curfew, after which the celebration can usually continue indoors at a lower volume.
9. Damage, loss and liability
You are responsible for damage caused by your group or your vendors to rooms, grounds, equipment or planting, and it will be billed at cost. Please do not leave valuables unattended — we cannot guarantee lockers or secure storage in the day-outing areas. To the extent the law allows, our liability is limited to the amount you paid for the booking; the precise wording of this clause is to be confirmed by our advocate.
10. Photography on the property
You are welcome to photograph your own event. Commercial and pre-wedding shoots are booked as a separate slot and charged accordingly. We may photograph the property and our events for our own use; tell the team in advance if you would rather your function was not photographed by us, and we will respect that.
11. Things outside anyone's control
Heavy rain, power cuts, water shortages, civic restrictions, strikes and government orders can affect what runs on the day. We will move activities indoors where we can and keep your event going. Rain by itself is not treated as a cancellation. Where an event genuinely cannot proceed, we will discuss postponement in good faith; the formal force majeure wording is to be confirmed.
12. If something goes wrong
Tell us while you are still here — almost everything is fixable on the day and almost nothing is fixable a week later. Ask for the duty manager, or write to [email protected]. We read every one of those.
13. Governing law
The applicable law and the jurisdiction for any dispute are to be confirmed by our advocate and will be stated on your booking confirmation.
14. Changes to these terms
We will update this page as the final wording is settled. The terms that govern your booking are the ones in force, and stated to you in writing, on the day you confirmed it. Last reviewed: draft, pending legal review.
